THESE POSITIONS ARE TEMPORARY AND WILL NOT BECOME PERMANENT.  AT THE END OF THE ASSIGNMENT YOU WILL RETURN TO YOUR CURRENT POSITION AND GRADE.

THESE TEMPORARY PROMOTIONS MAY BE EXTENDED.

Major duties will include but are not limited to the following.

These positions provide direct administrative support to the Associate Director and the Chief of Staff at the VA Medical Center in Martinsburg, WV. 

You will act as confidential assistant, maintaining personal files of correspondence and documents concerning subordinate personnel and similar subjects.  You will maintain the appointment schedule using Outlook calendar, making final commitments and assigning priorities which are left up to the secretary in most instances.  You will refer matters to staff members when appropriate and advise of appointments and other commitments which might have a bearing on future decisions.  You will arrange meetings including space, time and staff involved.  You will prepare meeting agendas, assemble background material and inform meeting participants.  You will greet visitors to the office providing assistance and referral to appropriate personnel when necessary.

Time-in-Grade Restriction - Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. The grade may have been in any occupation but must have been held in the Federal service.

Specialized Experience: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSAs) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated, are not required by this standard to have general experience, education above the high school level, or any additional specialized experience to meet the minimum qualification requirements.

You will be rated on the following Knowledge, Skills, Abilities and Other characteristics (KSAOs) as part of the assessment questionnaire for this position:

  • Extensive knowledge and ability to effectively communicate with others, both over the telephone and personal contacts and to effectively deal with disturbed patients, visitors and unusual circumstances.
  • Extensive knowledge of programs and procedures of the Department of Veterans Affairs, including duties, priorities, commitments, policies and goals of the Director and the Capital Healthcare Network.
  • Knowledge of an extensive body of rules, procedures, or operations applied to clerical assignments and knowledge of the organization and functions of an office in order to perform all of the procedural work of the office.
  • Knowledge of grammar, spelling, punctuation, required formats, taking and transcribing of dictation and the art of letter writing and composition.
  • Skill in operating a computer, typewriter, Microsoft Office Suite (to include Outlook, Word, Excel, Vision etc.), duplicating and facsimile equipment.
